VSA Indoor Season Refund Policy

VALLEY SOCCER ASSOCIATION REFUND POLICY

Valley Soccer Association (VSA) recognizes that family circumstances may change and a player may need to withdraw from a program. However, VSA commits facility time, coaching staff, equipment, insurance, administration, and other resources based on registration numbers well before programming begins. This policy provides limited flexibility for families while protecting VSA and its members from the financial impact of withdrawals.

REFUND SCHEDULE

Registration fees are refundable according to the following schedule:

• 30 days or more before the program begins: Registration fee less a $50 administration fee.
• 15-29 days before the program begins: Registration fee less a $100 withdrawal fee.
• Within 14 days before the program begins: 50% of the registration fee.
• During the first 15 days after the program begins: 25% of the registration fee.
• More than 15 days after the program begins: No refund.

For this policy, a program begins on the date of the player’s first scheduled VSA practice, game, session, or other official activity—not the date the player first chooses to attend.

Membership fees, insurance fees, late fees, merchandise costs, and other non-refundable third-party expenses are not refundable and may be deducted in addition to the amounts listed above. A player’s failure to attend, personal scheduling conflicts, or dissatisfaction with an assigned group, coach, practice time, teammates, or program format does not change the refund schedule.

PROGRAM CANCELLATION OR LACK OF SPACE

If VSA cannot offer a registered program or cannot place a player because the program is full, the family will receive a full refund of the affected registration fees.

If VSA must substantially change or cancel a program after it begins, VSA will determine whether a full refund, partial refund, or program credit is appropriate based on the portion of the program already delivered and the expenses already incurred.

MEDICAL WITHDRAWALS

A player unable to continue because of a documented medical condition may request consideration for a partial refund or credit toward a future VSA program. Medical refunds and credits are considered individually, are not guaranteed, may require supporting medical documentation, and will account for the portion of the program already completed and any expenses already incurred. All medical refunds and credits are issued at the sole discretion of VSA.

EXCEPTIONAL CIRCUMSTANCES

Requests falling outside this policy may be reviewed only in exceptional circumstances. Any refund or credit granted is at the sole discretion of VSA and does not establish a precedent for future requests.

HOW TO WITHDRAW

Withdrawal requests must be submitted in writing to the VSA Technical Director or Club Administrator and include:

• Player’s name
• Age group and program
• Season
• Reason for withdrawal
• Requested withdrawal date
• Confirmation that the family has reviewed this policy

The official withdrawal date is the date VSA receives the written request. Informing a coach that a player will no longer attend does not constitute an official withdrawal.

OUTSTANDING FEES

Players with outstanding registration balances, unpaid withdrawal fees, or other amounts owing will not be eligible to register for future VSA or VUSC programs until their account has been brought into good standing.
